Installer application terms

What happens when you apply to fit for us: what we ask for, what we check, what we do with your certifications, and what we can and cannot tell you about the work yet.

In short

  • Applying is not a job offer and not a contract. It starts a conversation.
  • We verify F-Gas and REFCOM registrations, because a legal install depends on them.
  • Your certificate numbers are not shared with anyone outside the company, and never with another installer.
  • We keep applications for 12 months, then delete them.
  • Rates and payment terms are agreed in writing per job, before you accept it.

A summary, for orientation. The clauses below are the ones that bind us.

What applying means

Sending the form starts a conversation. It is not a job offer, not a contract, and not a promise of work — from us or from you.

If we think there is a fit, we come back to you and we agree terms for actual jobs in writing before you accept any of them. You are never expected to do work on the strength of this page.

What we cannot tell you yet

Rates and payment terms are agreed per job rather than published, and we would rather say that than print a figure nobody has committed to. Ask us directly — we will give you a straight answer about a real job, which is the only answer worth having.

What we check, and why

We verify what you tell us about certification. This is not distrust — it is that an installation done by someone without valid F-Gas certification is unlawful, the customer's warranty is void, and the liability lands on us as the company that sold the job.

  • F-Gas certificate number and expiry, verified against the issuing body
  • REFCOM registration, where you hold one
  • That your public liability insurance is current, before your first job
  • The postcodes you say you cover, which we use for routing rather than for assessment

If a certificate lapses while you are working with us, we will tell you and we cannot allocate work until it is renewed. That is not a penalty; it is the same rule applied consistently.

What we do with your data

Duneair Ltd is the data controller for your application. This is the notice we owe you at the point you submit it.

What we hold
Name, email, phone, company, the postcodes you cover, F-Gas and REFCOM numbers, certificate expiry, experience, and anything you write in the notes
Why
To assess whether we can offer you work, and to verify that the certifications a legal install depends on are real and current
Lawful basis
Legitimate interests — ours in vetting, yours in being considered
How long
Twelve months after we decide, unless we take you on, in which case it becomes part of your working record
Who sees it
Us, and the certification bodies we verify with. Nobody else

Your certificate numbers stay with us

We do not share them with other installers, we do not sell or rent our applicant list, and we do not use your details to market anything to you. A trade contact list is a valuable thing and this one is not for sale.

You have the same rights over this data as anybody else — see it, correct it, have it deleted, object to us holding it. Email privacy@duneair.com, and the complaints route applies to you exactly as it applies to a customer.

If we do work together

You would be engaged as a self-employed contractor or through your own company, not as an employee. You would be responsible for your own tax, your own insurance and your own tools.

The customer's contract is with us, and we stay responsible to them for the work. In practice that means we care a great deal about how a job is done, and the Room Study is not a suggestion — the placement agreed with the customer is the placement that gets fitted.

Full terms for the work itself are agreed separately in writing before your first job. Nothing on this page replaces them.
